Parent Communication: Grades, Attendance and Limited In-Person Instruction


Dear Laurel Families,

We hope you are doing well and staying safe. We have appreciated your support and flexibility while we continue to operate in distance learning. Below we have outlined important information from ODE regarding this school year. As more information comes forward, we will do our best to keep you informed. Thanks again and please reach out if there is anything we can do to help.

Grades

Teachers will be assigning proficiency grades and sending report cards home at the end of Fall, Winter and Spring. Students’ in class work, as well as assessments and effort will be evaluated and teachers will report and communicate students’ progress towards grade level standards. 


Attendance Requirements

While this year is a different year, attendance is mandatory. Teachers are taking attendance each day for students who are attending virtual classes from 8:00-11:25 (synchronously). For students who are absent, parents will need to call the school and excuse their kids by explaining the reason for the absence. Students who were absent from morning classes should make up the work they missed by completing  independent work from Google Classroom, See-Saw, or other assignments (asynchronous). 

To excuse your child’s absence please call our attendance line at (541) 520-2042 and leave a message stating the reason for the absence. 

Students are considered chronically absent if they missed 10% or more of school days in an academic calendar year for any reason including excused, unexcused and disciplinary exclusion. For the Junction City District calendar, this is equal to 17 days or more.

We learned from research that chronic absenteeism is linked to a host of poor outcomes for students including:

  • low reading performance
  • discipline issues
  • dropping out of school
  • low graduation rates

More specifically:

  • Attendance matters as early as kindergarten. Studies show that children who miss too many days in kindergarten and first grade have trouble learning to read.
  • A child with too many absences by grade 6 is a good indication that the student is at risk of dropping out.
  • By grade 9, good attendance can predict graduation rates even better than eighth-grade test scores.
  • Good attendance is an important life skill that will help students graduate from high school, college and keep a job.

For students who are at risk of becoming chronically absent, the school will actively work with the family to remove barriers to attending. We care about each student and we want to work with you to the fullest extent. 

We are required by the law to follow up on students who are chronically absent, and for which attendance interventions have not changed the attendance pattern, by activating our truancy process. This may include receiving letters of concern from the school, receiving a visit from our Safety Officer to do a well-check, or referring the student to our truancy officer. Limited In-Person Instruction (LIPI)

To support students who are in need of extra support, we are allowed to bring in a limited number of students to receive Limited In-Person Instruction (LIPI). This instruction is considered supplemental, and all students will still be required to participate in Comprehensive Distance Learning until such time as we are able to fully re-open for all students. We are expected to prioritize bringing in those students who do not have internet access, and those who have unique, special learning needs that can be addressed more effectively with in-person support. Since LIPI has limitations and requirements that we must follow, not all students will be selected for LIPI. Also, please note that Limited In-Person Instruction is for those families who chose in person  instruction (not JCO or Remote Learning) for trimester 1, and students with exceptional needs will be prioritized and scheduled first. For your convenience we included the criteria at the end of this message for those of you interested in the details. 


This is how we are structuring our LIPI process.


Round 1: Assess students to identify needs (already done)


Round 2: Select students for LIPI based on data, academic and connectivity needs. (currently in progress) Notify students who have been selected and arrange for transportation needs if any. Please note that you might be called more than one time as we firm up our plans. We apologize in advance for that and appreciate your understanding. 


Round 3: Start LIPI on October 26th between the hours of 1:00-2:30 for 1st grade - 4th grade and on Nov. 2nd for kindergarten between the hours of 1:00-2:30. No LIPI on Wednesdays Due to Early Release schedule.

The students selected for LIPI in round 2 will stay intact until the Winter Break. After we come back in January, we will reevaluate the groups and change/invite new students as needed. 



Limited in-person instruction guidelines. 

  • Cohort groups are limited to no more than 10 students and students must stay in their assigned cohorts. 
  • We can only transport a maximum of 10 students on each bus. We are urging all those families who are able to arrange for- and commit to- alternate ways for students to get to and from school (walking/biking, carpools, parent transport); this will allow us to provide in person instruction to more students.
  • Families who will be using district transportation must have a consistent transportation schedule in place.  Students must ride the same bus each day for arrival and dismissal.
  • Students cannot be part of more than two cohorts (including transportation) in any given week. For this reason, we need to minimize the number of students using district transportation; if you have alternative ways of getting your child to and from school, please commit to using that alternative. (Please see more information about transportation below **).
  • Any one staff member cannot interact with more than three cohorts in a given day and no more than five different cohorts in a week.   
  • The time a single student or student cohort of any size can spend in a school building on a given day is limited to two consecutive hours and cannot be intermittent. 
  • The absolute number of students who can come into a school building within a given week is limited to 250 students and is further guided by the facility occupation limits described below when child care is also being offered by a district.  
  • Due to the cohort caps and the limits on the number of students that can be in our buildings in a given week, it will not be possible to offer Limited In-Person instruction for every student.

Esperamos que estén bien y han estado manteniéndose seguros. Hemos agradecido su apoyo y flexibilidad mientras continuamos de operar el aprendizaje a distancia. Abajo hemos explicado información importante de ODE con respecto a este año escolar. Tal como más información llega, haremos nuestro mejor esfuerzo para mantenerlos informados. Calificaciones

Los maestros distribuirán calificaciones y enviarán reportes de calificaciones a casa al fin del Otoño, Invierno, y Primavera. El trabajo de clase, tal como las evaluaciones y el esfuerzo de los estudiantes serán evaluados y los maestros registrarán y comunicarán el progreso de los estudiantes hacia los estándares de nivel de grado. 


Requisitos de Asistencia

Mientras este año es un año diferente, la asistencia es mandatoria. Los maestros están tomando asistencia cada día para los estudiantes que están asistiendo a las clases virtuales de 8:00-11:25 (sincrónicamente). Para los estudiantes que están ausente, los padres necesitan llamarle a la escuela y justificar la ausencia de su hijo/a para explicar su razón por la ausencia. Los estudiantes que fueron ausentes durante las clases de la mañana deben de hacer el trabajo que les faltó al cumplir trabajo independientemente de Google Classroom, See-Saw, o otra tarea (asincrónica). 

Para justificar la ausencia de su hijo/a por favor llame a nuestra línea de asistencia al (541) 520-2042 y deja un mensaje explicando la razón por la ausencia. 

Los estudiantes se consideran ausente crónicamente si faltan 10% o más de los días de clases en un año de calendario académico por cualquier razón incluyendo justificadas, o sin justificación y exclusión disciplinaria. Para el calendario del Distrito Escolar de Junction City, este es igual a 17 días o más. 

Aprendimos de estudios que la ausencia crónica está conectada a un organizador de resultados pobres para los estudiantes incluyendo: 

  • bajo rendimiento de lectura
  • problemas de disciplina
  • salirse de la escuela
  • niveles bajos de graduación

Mas especificamente:

  • La asistencia cuenta a partir de kinder. Los estudios muestran que los niños que faltan varios días en kinder y el primer grado tienen dificultades para leer. 
  • Un/a hijo/a con varias ausencias antes del grado 6 es una buena indicación que el estudiante está a riesgo de salirse. 
  • Al grado 9, la buena asistencia puede predecir los niveles de graduación un poco mejor que las calificaciones de exámenes de los estudiantes del octavo grado. 
  • La buena asistencia es una habilidad importante para la vida que le ayudará a los estudiantes a graduarse de la escuela preparatoria, el colegio y mantener un trabajo. 

Para los estudiantes que están a riesgo de estar ausente crónicamente, la escuela trabajará con la familia para eliminar barreras al asistir. Nos importa a cada estudiante y queremos trabajar con usted lo más que se pueda. 

Es requerido por la ley de comunicarnos con los estudiantes quienes están ausente crónicamente, y por cual las intervenciones de asistencia no han cambiado la asistencia, al activar nuestro proceso de absentismo escolar. Esto puede incluir cartas de preocupación de la escuela, recibir una visita de Oficial de Seguridad para hacer un chequeo de bienestar, o referir un oficial de absentismo escolar al estudiante. Instruccion Limitada En Persona (LIPI)

Para apoyar a los estudiantes quienes necesitan apoyo adicional, estamos permitidos de traer un numero limitado de estudiantes para recibir Instruccion Limitada En Persona (LIPI). Esta instrucción es considerada suplementaria, y todos los estudiantes todavía se les requiere de participar en el Aprendizaje Comprensivo a Distancia hasta qué tal momento podamos reabrir completamente para todos los estudiantes. Se espera dar prioridad a los estudiantes que no tienen acceso a la internet, y ellos quienes tienen necesidades únicas, como el aprendizaje especial que puede ser abordado más efectivamente con apoyo en persona. Como LIPI tiene limitaciones y requisitos que debemos seguir, no todos los estudiantes serán seleccionados para LIPI. También, por favor anote que la Instruccion Limitada En Persona es para las familias quienes eligen instrucción en persona (no JCO o Aprendizaje Remoto) para el trimestre 1, y los estudiantes con necesidades excepcionales se daran prioridad y se programaran primero. Para su conveniencia hemos incluido los criterios al final de este mensaje para los que están interesados en los detalles. 


Así es como estamos estructurando nuestro proceso de LIPI.


Ronda 1: Evaluar a los estudiantes para identificar necesidades (ya se cumplio)


Ronda 2: Seleccionar a los estudiantes para LIPI basados en datos, necesidades académicas y conexión. (actualmente en progreso) Notificar a los estudiantes quienes han sido seleccionados y programados para las necesidades de transporte si hay. Por favor anote que todavía le pueden llamar más de una vez para afirmar nuestros planes. Disculpenos de antemano por eso y agradecemos su entendimiento. 


Ronda 3: Comenzar LIPI el 26 de octubre entre las horas de 1:00-2:30 para el grado 1 - grado 4 y el 2 de noviembre para kinder entre las horas de 1:00-2:30. No LIPI los miércoles debido al horario de Salida Temprana. 

Los estudiantes seleccionados para LIPI en la ronda 2 se mantendrán así hasta las Vacaciones del Invierno. Después de regresar en enero, re-evaluaremos los grupos y cambiaremos/invitaremos nuevos estudiantes tal como sea necesario. 


Guias de Instrucción Limitada en Persona 

  • Grupos cohortes son limitados a no más de 10 estudiantes y los estudiantes deben mantenerse en su cohorte asignado. 
  • Solamente podemos dar transporte a 10 estudiantes en cada autobús. Les estamos animando a las familias quienes pueden- y comprometerse a- maneras alternativas para los estudiantes de llegar y salir de la escuela (caminar/bicicleta, compartir transporte, transporte de padres; esto nos permitirá proporcionar instrucción en persona para más estudiantes. 
  • Las familias que estarán usando transporte del distrito deben tener un horario de transporte consistente en lugar. Los estudiantes deben andar en el mismo autobús cada día para llegar y la despedida. 
  • Los estudiantes no pueden ser parte de más de dos cohortes (incluyendo transporte) en cualquier semana. Por esta razón, necesitamos minimizar el número de estudiantes usando el transporte del distrito; si usted tiene maneras alternativas de llevar a su hijo/a hacia y de la escuela, por favor comprometerse al usar esa alternativa.   • Cualquier miembro personal no puede interactuar con más de tres cohortes en un solo día y no más de cinco diferentes cohortes en una semana. 
  • El tiempo que un solo estudiante o cualquier tamano de cohorte estudiantil puede estar en el edificio de la escuela en un solo día está limitado a dos horas consecutivas y no puede ser recurrente. 
  • El número absoluto de estudiantes que puede venir al edificio de la escuela dentro de una semana está limitado a 20 estudiantes y luego se guía por los límites de ocupación de la instalación descritos abajo cuando el cuidado de niños también se está ofreciendo por el distrito. 
  • Debido a los limites de cohorte y los límites en el número de estudiantes que puede estar en nuestros edificios en una sola semana, será imposible ofrecer Instruccion Limitada En Persona para cada estudiante.
